The "IRM Options" configuration page has various sections. Each is explained below. A link to a specific section can be found in the following list.
At the end of the configuration page are two buttons, "Save Settings" and "Exit - Don't Save". After making changes to the configuration page, click the appropriate button to either save changes or exit without saving.RDP
In order to reflect property specific information (i.e. - address, logo, phone numbers), access the configuration page and change the fields in the “General” section. The name, address, phone numbers, e-mail and URL information appear in the “banner frame”. The banner frame displays throughout the reservation process. A sample banner frame is displayed below.
The banner frame can appear either on the left side or the top of the page based on the setting in the “Appearance” section. RDP recommends using the side setting, since screens were designed with this setting in mind.
The fields in the "General" section are described below.
Enter the property name. If the property name is contained in the logo and does not need to be displayed again, check the "Hide Property Name in Banner" setting.
Enter the property's address.
Enter
the property's city, state, and zip. If the address is long, it
can be displayed on two lines by inserting the text <br> where the break
should appear. For example: Town of RDPe, <br> CO 81658
will display as:
Town of RDP,
CO 81658
Enter the following phone numbers:
Enter the URL for the property's website. When Internet guests click on the property's logo in the banner frame, they will be transported to this address.
Enter the location of the property's logo.
Enter the property's e-mail address. Normally, this would be the e-mail address for the reservations department.
The section for "System Maintenance" holds RDP-related fields in addition to the IRM monitor password and e-mail settings. The fields in this section are described below.
Enter the password for configuring the IRM. This setting can also be changed in the RDP-DOS system using the steps described in the "Configuration Options" section.
Enter the password for displaying the IRM monitor page.
Customers that have purchased and installed an SSL Security Certificate should check this box. With this box checked, the IRM controls which pages are locked on servers containing an SSL certificate. These pages are:
| Page | Description |
| Res1.asp | Guest enters personal and credit card information. |
| ResTA.asp | Travel agent enters guest information |
| CCard1.asp & CCard2.asp | Credit Card Processing page |
| CCardRetry.asp | Page that is displayed if the initial credit card processing fails |
| Confirm1.asp | Confirmation page |
For performance reasons, all other IRM pages are unlocked. The IRM link from the marketing site should include "https:". The "s" indicates the link takes the Internet guest to a secure site. With the "https" link, the IRM pages lock or unlock accordingly.
When a guest leaves the IRM confirmation page (Confirm1.asp), the browser displays the "leaving a secure site" message.
Internal to Resort Data Processing. Do not select this option.
Internal to Resort Data Processing. Do not select this option.
Upon installing the IRM, RDP Support will check this box in order to monitor the IRM's status at your property. E-mails include information about the condition of the web server and whether or not the IRM is "down" for lengthy periods of time. This setting allows RDP to monitor IRM activity and help troubleshoot problems.
The "EMail Start & End Notices" feature is used by RDP Support for monitoring the beginning and ending of IRM sessions. RDP Support normally activates this feature upon installation and turns it off once the IRM is functioning normally. If a customer reports a problem with Internet guests connecting to the IRM, RDP Support activates this feature.
If the property wants to receive the same status e-mails as RDP, enter the System Administrator's e-mail address in this field.
When the IRM is first installed, this option should be checked in order for all starting and ending sessions to be e-mailed to RDP. After the IRM is functioning, RDP will turn off this feature.
Use the "Appearance" section for changing the background colors for the main and banner pages. Colors and their names are displayed in this section along with fields for entering a background image. The IRM is installed with standard background images in the IRM\bg folder. Custom background images can be added to this folder and references in this section.
Fields in the "Appearance" section are described below.
Various background colors for the IRM pages can be selected. Colors and their names are displayed. Be aware that colors displayed within specific browsers may look different depending on Windows color settings and graphics capabilities.
Background images can be created and displayed. For example, a “water mark” background image can be displayed on all pages. The background image should be very subtle. Place background images in the \InetPub\wwwroot\IRM\bg folder.
Various background colors for the banner page can be selected.
The IRM will wipe out the background and/or banner image in the monitor page if the image does not exist in the \bg\folder.
The links and text colors within the banner can also be modified. Please co-ordinate background colors and text colors carefully. Please see IRM Tips for co-ordinating the IRM colors to the main website.

Background Color for Action Tables
“Action Tables” list guest options. For example, the available room types, rate plans and available rooms (pre-assign only) screens display action tables. The guest must choose one of these appropriate options to continue. Colors selected for action tables should attract the eye to the table. In general, these colors should be kept light so that the text is easy to see.
Background Color for Information Tables
As Internet guests choose options from action tables, the information is displayed on subsequent pages in “Information Tables”. These tables include the guest’s arrival date, departure date, number of nights, number of people, room type, rate plan and more depending on the settings in the “Rate Plan” section.
Please note, RDP suggests using the "Side" setting. All RDP pages are created with this setting in mind.
The "Reservations" section defines how Internet reservations are booked. In addition, required fields are defined and confirmations are formatted. The fields in the "Reservations" section are defined below.
Place a checkmark in this box in order to require Internet guests to enter their state. Properties relying on the "Reservations by State" statistical report should activate this option. Without this option activated, the revenue for each Internet reservation will fall under the "Undefined State" category.
Place a checkmark in this box in order to require Internet guests to enter their zip code. Properties who place an emphasis on past guest mailings should activate this feature in order to collect guest zip codes.
Place a checkmark in this box in order to require Internet guests to enter their country. Properties doing a large amount of international business should activate this option.
Place a checkmark in this box in order to require Internet guests to enter their phone number in the first phone field. The default for this switch is Yes.
Place a checkmark in this box in order to require Internet guests to enter a phone number in the second phone field.

Once a rate plan or package is flagged as "Group Only", a group master must be added to the reservation in order for the rate plan to display as a choice. However, with this feature activated, all rate plans display for the Internet guest, regardless of whether or not they are flagged as "Group Only".
With this feature activated, pictures are displayed while Internet guests are viewing available room types. The pictures displayed depict the type of room. For example, if the property has "KING" rooms available for the dates entered, the IRM displays a picture of a "KING" room type. Please see the section titled "Customizing the IRM using Pictures and HTML" for additional information about adding pictures to the Internet guest's IRM experience.
However, if your property utilizes property codes in order to define a unit's location, activate this feature by entering a checkmark in the box.
For any questions regarding the use of property codes in the IRM, please contact RDP Support at (970) 845-7108.
Enter a checkmark in this box if the room number or room type calendar should NOT be displayed to the guest on the detail page. RDP recommends displaying the calendar. With the calendar displayed, a guest can view the room or room type's availability without having to "guess" available dates.
Place a checkmark in this box in order to require Internet guests to enter their e-mail address in the Verify E-Mail field. This field is compared to the E-Mail field to ensure that both fields have the same input. Properties who receive or want to avoid receiving numerous "bad" e-mail addresses should activate this feature.
Hide # to Display on RoomType Page
By default, the Room # to Display selection box appears on the Room Type page. Properties with less than 5 unit types should consider this switch to de-clutter the Room Type page.
Hide ' Not Available ' Rooms or Room Types
Place a checkmark in this box to hide rooms or room types not available for the dates requested by the IRM guest.
Hide People classifications 3 & 4
People classifications 3 and 4 can be disabled in the IRM Only. A property can use these 2 people classifications in the RDPDOS product and at the same time disable them in the IRM.
Hide Occupancy Field on Room Type Listing page
Hide the Occupancy count displayed on the Unit Type Display page. Example: The actual maximum on this Room Type is set to 4 people in RDP-DOS. The property still has the flexibilty to allow up to 2 adults and 2 children in that same room type but would prefer not to show this information to the IRM customer.

Display room types based on RoomTypeOrder.txt
Properties with many specific room types may want to display them in a property defined sequence on the IRM. Using a defined sequence, the property can display the next best fit to the guest when their first choice is unavailable. The order in which room types display on the IRM can be set in the file RoomTypeOrder.txt. The file defines the sequential order types will display based on the original type selected on the RoomType1.asp page . A complete file for a property with three room types would be as follows:
1B, 2B, 3B
2B, 1B, 3B
3B, 2B, 1B
The IRM will search to match the selected room type with the first room type on the line, and then display the remaining room types in the order set. If a room type exists but is not in specific line, it will not be displayed. If a room type is selected on the Room Type page but no line starts with that room type, the rooms will display in the first order corresponding to the first line in the txt file. If a typo is made on one of the lines of the RoomTypeOrder. txt, a stat 4 will appear whenever the type that starts the line with the typo is selected. The error will include what record is missing.
Room Type Order and Property Codes
A custom sequence may also be defined based on Property code. Additional sequences are defined in RoomTypeOrder.txt that begin with the property code. If 'Show Property Codes' is activated, internet guests will be able to search by property code or room type. A line of text will exist for each property code, starting with the property code and including the room type sequence. An example of a complete file for a property with three room types and two property codes is displayed below:
1B, 2B, 3B
2B, 1B, 3B
3B, 2B, 1B
01, 1B, 2B
02, 3B
Hide option to search for specific Room Type on Room Type page
By default, a Room Type selection box appears on the Room Type page. This search criteria allows for a guest to search for the availability of a specific Room Type. Properties with a small number of unit types can use this check box "Hide Room Type choices on Room Type page" . This allows the property to hide the Room Type selection box ( See below ) and continue to search by room types.

In order to speed up the available room type display, the number of room types displayed to the Internet guest can be limited. The number of available room types can be set between 1 and 99.
The IRM includes an availability calendar for both room numbers and room types, depending on the setting for pre-assign or inventory reservations (see below). With either reservation type setting, the maximum number of calendar months is set with this field. The default is four, the minimum is four, and the maximum is 12.
If the property only accepts Internet reservations that are arriving a set number of days in the future, complete this field. For example, if the property requires that Internet reservations be made three days prior to arrival, set this field to "3".
Enter the default tax code for Internet reservations. Normally, this code is "TA".
Enter the label for the first guest phone number on the "Reservation Entry Form". For example, the property could collect a "Day-Time Phone" and an "Evening Phone" number for the Internet guest. Or, the labels could be set to "Home Phone" and "Cellular Phone".
Enter the label for the second guest phone number on the "Reservation Entry Form". For example, the property could collect a "Day-Time Phone" and an "Evening Phone" number for the Internet guest. Or, the labels could be set to "Home Phone" and "Cellular Phone".
In addition to the features listed above, the "Reservations" section also defines the method for booking Internet reservations. The two options are pre-assign and inventory. These terms are defined below.
| Reservation Type | Definition |
| Pre-Assign | The Internet guest selects a room number while booking the reservation. |
| Inventory | The Internet guest selects only a room type (i.e. - KING) while booking the reservation. |
Fields in the "Reservations" section that deal with the reservation method are listed below.
With "Always Assign a Room Number” checked, pre-assign reservations are made. While in pre-assign mode, the option for “Auto Assign a Room Number” or “Guest Chooses Room Number from Available List” can be selected. Using “Auto Assign”, the room number is assigned based on the first available room number found for the selected room type (room number sequence).
With this feature activated, the room number selected by the guest is displayed throughout the reservation process. Many properties do not display the actual room number to the guest in order to simplify room moves.
This option should only be activated by properties with the following IRM configuration:
With this feature activated, the standard "Access Type" page displayed when an Internet guest visits the IRM is replaced by a "Search" page with the following options:
Each option is described below.
| Option | Description |
| Available Rooms Based on Dates | If an Internet guest selects this option, the standard "Access Type" page is displayed and the normal IRM flow is followed. |
| RDP | |
| Display Specials and Featured Rooms | This
option is unique to the "Search" IRM configuration. When
an Internet guest selects this option, the IRM displays only rooms that
are flagged as "Specials". A room is flagged as
having a "special" in the "Configure
Rooms" page.
Once the Internet guest views property specials, he or she may view a room calendar and then make a reservation for a specific room. After viewing the calendar and selecting the option for making a reservation, the IRM displays the "Access Type" page. Here, the guest selects the option for "New Guest" or "Existing Guest". Next, the IRM prompts the Internet guest for an arrival and departure date, a rate, and personal information. |
| RDP | |
| Search by Selected Requirements | This
option allows the Internet guest to view all rooms that match specific
guest requests, regardless of arrival and departure dates.
For example, an Internet guest can search for all two-bedroom units with a hot tub and a mountain view. The IRM displays matching accommodations. Next, the Internet guest can view a specific unit's availability calendar and make a reservation for the specific room. |
| RDP | |
| Display a Specific Room Number | A
great option for return guests is to display availability for a specific
room number. This option is useful for return guests that know a
specific unit meets their needs.
After selecting this option, the IRM displays a search box for entering a specific room number. Next, the availability calendar for that room number is displayed and the guest can select the option for "Make a reservation for a room". Here, the guest enters arrival and departure dates along with entering a rate plan and personal information. |
This feature is only available if the "Guest Chooses Room from Available Rooms" feature is active.
This option is for properties that do not want Internet guests booking reservations by room type.
Activate this feature in order to display pictures of specific room numbers. This feature is only available in pre-assign reservation mode. Please see the section titled "Customize the IRM Using Pictures and HTML" for more information regarding the use of images for describing room numbers.
In order to speed up the available rooms display, the number of rooms displayed to the Internet guest can be limited. The number of available rooms can be set between 1 and 99.
The Reservations section also includes features for customizing Internet confirmations. These features are described below.
With this option selected, the Internet guest receives a detailed listing of projected charges as part of their confirmation. A sample confirmation with folio detail is listed below.
In addition to displaying the folio detail, the Internet confirmation can also display the room type description, as opposed to the room type abbreviation. With this feature activated, the Internet confirmation displays the text "One Bedroom" as opposed to "1B". The description assists the Internet guest in being assured that the correct accommodations have been booked.
With this feature activated, the Internet confirmation includes the actual room number booked. Many properties do not display this information in order to avoid room move conflicts.
This feature pertains to pre-assign, owner, and guest of owner reservations.
For condominium customers renting units in a variety of locations, it may be helpful to include the unit's address and telephone number on the Internet confirmation. A sample is displayed below.
The address and telephone number information are a part of the "room master" stored in the RDP-DOS system. To update this information, use the following steps:
In order to track reservations made through the IRM, the following system codes are defined:
All three of these codes are beneficial for marketing and management reporting. RDP's Statistical Reports module includes standard reports for "Revenue by Source of Business" and "Revenue by Market Code". By accurately tracking reservations made via the IRM, the property can make informed budgeting decisions.
When an Internet guest makes his initial reservation, the “Guest History Type” is assigned based on this field. Guest history types are stored in RDP-DOS table CA and are used to segment guest history for marketing purposes. For example, a mailing can be distributed to past guests based on guest history type. So, all guests who have booked through the IRM can be e-mailed a newsletter alerting them of future Internet specials. Use the following steps for adding sub-records to RDP-DOS table CA:
The initial IRM “Source of Business” code is entered by the Internet guest. By default , all source of business codes from RDP-DOS Table CD are displayed. Use option 090 on the System Manager menu (98) to suppress any source of business codes that should not be displayed to Internet guests. Enter an "N" in field “#2” – “Show on IRM?” to suppress a source of business code.

The initial source of business code entered by the Internet guest is transferred to the Guest Master record and used for as the default for any subsequent reservations.
The market code entered here is used for all Internet reservations. RDP provides standard "Revenue by Market Code" reports. These reports are useful in determining the type of guest staying at the property. Once the type of guest is determined, marketing dollars can be spent in the correct areas for attracting additional business.
Additional market codes can be added using option 090 on the System Manager menu and updating table CF.
The IRM contains settings for guests who often book through the on-line system. Returning guests access the IRM by entering either their e-mail address or guest number and the corresponding password. The guest's password is stored in the RDP-DOS system under the guest master record. Use the following steps for accessing the guest master record.
Returning guest features are displayed below.
With this option selected, guests booking several reservations through the IRM will see all of their previous reservations. With this feature turned off, only those reservations in "active" history are displayed. As a review, RDP's historical checkouts are split into "active" and "non-active" history. Nightly, as part of the property's audit, the "910" - "Transfer Reservations to Non-Active History" option is completed. And, based on property-defined settings stored in RDP-DOS table C1, reservations checked out for a set number of days are transferred from the active to the non-active file. Only reservations with a zero balance are transferred to non-active history.
Properties may have Frequent Stay Guest programs or be affiliated with Frequent Mile Programs. The IRM has the ability for the returning guest to use this Special ID number when making a new reservation or checking an existing reservation. The IRM will prompt for this ID number and a password prior to displaying the returning guests detailed record. This frequent ID number is stored in Comment-9 in the Guest History records and must be updated by the property prior to the Internet guest accessing his account. The new IRM reservation will then be stamped with this frequent ID number.
To change the prompting text for comment-9 on the
IRM, choose IRM options and Configure
Comment Fields.
Returning Internet guests can be assigned a specific rate plan. If a return guest accesses the IRM and this feature is activated, the rate plan from the "guest master" is used. The rate plan on the guest master record is accessed using the following steps.

If a rate plan for this guest is not entered in
field #33, the IRM defaults to the rate plan entered on the IRM Options page
(seen below).
If a rate plan is not entered on the IRM Options page, and the guest is booking a group reservation, the IRM checks for the setting in the field "Show Only the Rate Plan Assigned to the Group Master". If this switch is activated and the group master has a specified rate plan, it becomes the default rate plan.
If the new reservation is NOT assigned to a group master, the IRM checks the setting in the "Display this One Rate Plan Only" field. If only one rate plan is valid for Internet guests, the specified rate plan is, of course, used for the new reservation. If a rate plan is not specified in the "Display this One Rate Plan Only" field, all valid IRM rate plans are displayed to the returning Internet guest.
A returning Internet guest who allows cookies to be stored on their computer sees a "Welcome Back" message upon accessing the IRM. Cookies store the guest's name and password, making the IRM login process faster. If the guest clicks the "Login" button under the "Welcome Back" message, the IRM displays the "Verify Guest" page that shows guest information and reservation activity. Next, the returning guest clicks the "Continue to Date Entry" button. The guest number and password do NOT have to be re-entered.
The settings described below pertain to how the IRM handles travel agent reservations.
The IRM screen initially displayed to Internet guests is normally the “Access Type” page. This page allows up to five Internet reservation choices, including:
New Guest
Existing Guest
Travel Agent (optional)
Group Reservation (optional)
Owner (condominium and timeshare customers - optional)
The Travel Agent choice is optional and is controlled with the “Allow Travel Agent Reservations” feature. When activated, the travel agent enters its RDP master number along with a password. Once the username and password are verified, the travel agent proceeds with booking the Internet reservation. A travel agent's master number can be accessed from within the RDP-DOS system using the following steps.
Use this feature if travel agents are required to enter a credit card in order to hold a reservation. With this feature activated, the rules in the "Deposit" section also apply to travel agent reservations.
With this option activated, the verification page displays a past guest listing along with information from the travel agent master record (i.e. - name, address, phone).
Travel agent reservations that have transferred to non-active history are suppressed on the travel agent verification page unless this option is activated.
With revision 2.025 of the IRM, a guest e-mail address is required for travel agent reservations.
The IRM can be configured to allow group reservations. Use the features below to customize the IRM's group options.
The IRM screen initially displayed to Internet guests is normally the “Access Type” page. This page allows up to five Internet reservation choices, including:
New Guest
Existing Guest
Travel Agent (optional)
Group Reservation (optional)
Owner (condominium and timeshare customers)
The Group choice is optional and is controlled with the “Allow Group Reservations” feature. When activated, the group enters its RDP master number along with a password. Once the username and password are verified, the group proceeds with booking the Internet reservation. A groups master number can be accessed from within the RDP-DOS system using the following steps.
If individual guests should be prompted for a group number and password, check “Prompt for Group After Individual Guest Access”. With this feature activated, corporate Internet guests must have a group master number and password in order to book reservations.
In order to display the password and credit card fields, Corporate guests use the same "Reservation Entry" page as individual guests. Credit cards are always required, however a deposit is NEVER taken on corporate reservations, regardless of the setting in the "Always Take a Credit Card Deposit" field.
Use this feature if a credit card is required in order to hold group reservations. By selecting this feature, two options become available:
Use deposit settings below
The default option, use deposit settings below, calculates the group deposit based on the criteria set in the Deposits section.Use group deposit percentage
If this option is selected, the group deposit is calculated based on the IRM deposit percentage on the group master. The deposit is a percentage of room and tax. If the deposit percentage is blank, the default deposit settings are used.
The above options are only available in IRM Revision 2-127 and above. Prior revisions always use the configuration in the Deposits section.
With this option activated, the verification page displays a past guest listing along with information from the group master record (i.e. - name, address, phone).
Group reservations that have transferred to non-active history are suppressed on the group verification page unless this option is activated.
This setting controls whether all Internet rate plans are displayed within the IRM, or only the assigned group rate plan. Group rate plans are assigned using the RDP-DOS system, option “202” - “Change Group Master” on the Group Master menu (6). Field #14 is the group rate plan.
With this feature activated, only the rate plan assigned to the master is available to Internet guests booking through the IRM's "Group" option.
Activating this feature will set the default arrival date for group reservations to the arrival date stored on the Group Master. If the arrival date on the Group Master is blank or is a past date, the default arrival date will be set with the same criteria as regular reservations.
The IRM uses the following rules when booking group reservations.
The IRM automatically uses a group block if it exists. Group blocks are entered in the RDP-DOS system using option 551 on the Group Master menu (6). If a group block does not exist, management's availability is decreased.
The IRM never overbooks a group block, regardless of the setting in switch 422-17 (Allocate rooms from Management when overbooking group blocks).
If “Run Of House” (ROH) blocks are used, the IRM utilizes this logic.
The IRM uses the following rules pertaining to group leaders.
If a group has no leader, the group reservation being made also has no leader.
If a group has only one leader, it is automatically used for the new reservation.
If a group has more than one leader, the IRM selects the group leader having overlapping dates with the new Internet reservation.
If a group leader is added to the Internet reservation, the group leader pay code equals the pay code on the group leader reservation.
With revision 2.025 of the IRM, a guest e-mail address is required for group reservations.
For customers managing properties with individual owners, the IRM can be customized for owner reservations. Specific features are described below.
Activate this feature if the IRM is being configured to accept owner reservations. This feature only pertains to those customers with owners of individual units, timeshare and whole ownership condominiums.
Use Owner Rotation on Room List Page
Activate this feature to use the owner rotation in RDPDOS to list rooms in the IRM .
Hide Recurring Charge Field on Owner Page
Activating this feature will hide the recurring charge field on the owner detail page. The switch was added in IRM Revision 2-077.
Enter the default rate plan used for owner reservations. The code entered here is a valid rate plan defined with option "186" - "Maintain Variable Packages" in the RDP-DOS system. Define a rate plan in this field only if the property accepts IRM reservations for condominium or timeshare owners.
Enter the default rate plan used for guest of owner reservations. The code entered here is a valid rate plan defined with option "186" - "Maintain Variable Packages" in the RDP-DOS system. Define a rate plan in this field only if the property accepts IRM reservations for guests of condominium or timeshare owners.
As part of the RDP Wait List Module, Brochure Requests can be made using the IRM. Brochure requests are stored in RDP as a Guest History Record. Upon submission of a request, the property and the guest will receive an e-mail. Properties can view the requests made each day from the IRM Monitor by selecting "Brochure requests made today."
Guest history type for brochure requests
Set the guest type for all guest history records created by brochure requests.
For more information about the RDP Wait List Module, contact RDP Sales.
The settings below define the settings for taking advance deposits on Internet reservations. All deposits are processed through the Southern DataComm (SDC) Credit Card Interface (RDP module code RQ). In order to determine whether or not your property has purchased the SDC interface, open the RDP-DOS system and press the <F6 - MODULES> key from any menu. The system then displays all installed modules.
Specific Credit Cards can be Blocked from the IRM
Some Properties only take Amex cards from groups
and corporate business. They prefer not to have non-corporate business use Amex
cards, as the fees are higher. It is possible to block certain credit cards from
being used by the IRM guest while maintaining the ability for the property to
use them.
A new field has been added to the Credit Card Masters screen in RDP-Dos.
The field, "Block From IRM," allows specific Credit Card Types to be
excluded from the IRM.
With this option selected, a deposit is taken for all guests. Please note the “Require a Credit Card for Travel Agent Reservations” setting in the Travel Agent section controls whether a deposit is taken for travel agents. Also, the "Require a Credit Card for Groups" setting in the Groups section determines whether a credit card is processed for group reservations. Credit cards are verified on-line using the Southern DataComm credit card interface and are charged based on the setting below.
Deposits are taken for new guests only. All previous guests with a password in guest history are allowed to make reservations without entering a credit card.
Internet guests are allowed to make reservations without a deposit.
If the option for "Always take a Credit Card Deposit" or "Take a Credit Card Deposit for New Guests Only" is selected, the amount of the deposit is based on the setting in this field. The options are described below.
The average daily room charge is multiplied times the specified number of nights.
The reservation's total charge is the deposit amount. Optionally, the tax can be included.
A specified percent of the total room charge.
A specified dollar amount. The amount specified is the same for every reservation.
If the Internet reservation is made within a specified number of days from the arrival date, configure the IRM to use the reservation's total charge as the deposit amount.
Enter the number of days. For example, if the property requires full payment from Internet guests if their arrival date is five days from today's date, enter a "5" in this field.
Enter
the SDC path. For NetWare
servers, the path is:
\\Server Name\Volume\Path\
For Windows 2000 servers, the path is:
\\Server Name\ShareName\Path\
Set the minimum, maximum and default number of nights. The default appears on the “Search for Rooms” page, displayed below.
The default number of nights must be greater than or equal to the minimum and less than the maximum. The minimum number of nights can be from 1 to 99 and the maximum number of nights can be from 1 to 999.
For each “Number of People” category, a default and maximum can be set. These defaults are used on the "Search for Rooms" page. If any of the four headers are blank, that people category is not in use and the values should be zero.
The IRM “Rate Plan” page can be configured to display any system rate plan or only one rate plan. If the option for “Display All Internet Rate Plans” is selected, each specific rate plan must be designated as “On IRM”. Use RDP-DOS, option 186 on the System Manager menu to change the “On IRM” field to a “Y”.
Each option in the "Rate Pans" section is described below.
All rate plans flagged for IRM display in the RDP-DOS system are displayed to the Internet guest.
Enter the one rate plan available for Internet guests. For example, RACK.
Should the IRM display the total charges for the guest's stay? If so, activate this feature.
Should the IRM display the total tax for the guest's stay? If so, activate this feature.
Should the IRM display the total charge (room charges plus tax) for the guest's stay? If so, activate this feature.
With this feature activated, the IRM displays a "Rate" column on the Internet confirmation. A sample is displayed below.
With this feature turned off, the Internet confirmation does not display a "Rate" column.
Many properties require a security deposit in order to book reservations. With the IRM, packages can be created in the RDP-DOS system that include a "Security Deposit" component. (All security deposits accrue to bucket 3.) With this feature activated, the IRM breaks out the security deposit as an individual component on the rate screen. A sample is displayed below.
If special requirements must be met in order for guests to book an Internet rate, activate this feature. Rate plan requirements are added to the RDP-DOS system as an <F6 - NOTE> and then displayed in the rate table.
With this option selected, the guest sees the four-digit rate code on the Internet confirmation. For example, the rate code for the "Rack Rate" may be "RACK.
Many properties turn off this feature because the four-digit rate code is not very descriptive to the Internet guest.
With this feature activated, rate plans that are not currently available display in the rate table. By displaying these rates, Internet guests are aware of specials that may be available throughout the year. A sample rate table is displayed below. Note the radio button for invalid rate plans is greyed-out.
With this option selected, rates that are cut-off through the RDP Yield Management system are displayed in the IRM rate table with a description alerting the guest that the rate is not currently available. In the sample rate table below, the "Honeymoon Package" is currently cut-off.
Rate plan cut-offs are entered in the RDP-DOS system with option 117 on the System Manager menu (98).
Note: A " No Rates Found " error message on the IRM indicates the Property must define the People Pattern in RDP-DOS using option 186 Maintain Variable Packages, option 1 on the System Manager menu (98). An e-mail will be sent to the main contact at the Property if this should occur, alerting them to update their system. This may happen when new Unit Types are added to a system. Please contact RDP Support for more information.
There are nine “Guest Request” headings used in the RDP-DOS system. These are located in table C8 sub-record "01". For the RDP-DOS system, these are three- character codes. The three-character code is not very descriptive to an Internet guest booking a reservation. For example, there may be confusion if the guest sees an abbreviation for the view from the unit that simply reads "OCN" for "Ocean". The "Guest Request" section contains the following columns.
This section adds descriptions to the three-character codes entered in the RDP-DOS system. The “Text” fields are used to enter an Internet description. The "#1" field corresponds to the first guest request heading listed in RDP-DOS table C8 sub-record "01".
Should this guest request heading be displayed for Internet guests? At least one of the guest request fields should be used.
The “Selections” drop-down field is a display only feature that shows which request options the Internet guest sees.
The "Selections" button to the right of the drop-down field is used for adding new guest request options. For example, if one of the guest request headings is "Number of Bedrooms" and the property has a new choice for a four-bedroom unit, use the following steps for adding this choice to the IRM.
Click the "Selections" button.
To the right of the text "Add", enter the text for the new option. In this example, the text is "Four Bedrooms".
Enter a "Value". The value corresponds to the C8 "PREF" sub-record. In this example, the value is "4BR".
Click the "Save" button.
The new option is now saved. Click "Exit" to return to the "IRM Options" page.
A new choice now appears in the drop-down field for "Number of Bedrooms" - "Four Bedrooms".
If specific dates are blocked from the IRM, or a room is not available, a guest can submit a Wait List Request. A Wait List request generates a reservation in room type N/RWL. The guest is also entered into guest history, and an email is sent to the property and guest confirming the specific of the requests.
A link to "Add to Wait List" appears if the dates are blocked from the IRM, if the room type is not available, or if no rooms are available at the property. To enable wait list reservations, IRM revision 2-129 and the RDP Wait List Module must be installed.
