RDP Customer Conference - June 9-12, 2003

I would like to invite you to the 21st RDP Customer Conference at the newly remodeled Marriott Mountain Resort in Vail, Colorado from Monday, June 9th through Thursday, June 12th, 2003. The conference this year will be the most important in RDP history, as we will be unveiling our new software system, RDPWin, which will be the core RDP technology for the next 10 years.  All customers should plan on attending the conference to learn about the upgrade path to RDPWin to take advantage of the myriad new features, which include:

RDP is offering our two-day Crystal Reports Certification course prior to the conference on June 6-7.  This class provides a great opportunity to learn how to improve the look of confirmations, registration cards, guest E-mails and system reports while in Vail.  We are also offering a one day class on optimizing the Internet Reservation Module the Friday after the conference, June 13th.  Both classes are held at the RDP training center in Vail, with a maximum of 20 students.  RDP provides a computer for each student.  Details on both classes are included in this document.

This session is Optional  it is not included in the Customer Conference

RDP is offering our two-day Crystal Reports Certification course prior to the conference on June 6-7.  This class provides a great opportunity to learn how to improve the look of your confirmations, registration cards, guest E-mails and system reports while in Vail.  RDP provides a computer for each student.  Details on both classes are included in this document.  

This two-day class is NOT included in the Customer Conference package price.  The course is held at RDP's Corporate Headquarters in Vail, CO.  Each student has their own workstation in the RDP training lab.  The course is a hands-on class with several lab exercises and ample time for experimentation.  The price for this two-day optional class is $500.  The class covers both Level 1 and Level 2 Crystal Reports topics, including:

Session # 2 RDPWin  The Future of RDP is Here

The conference this year will be the most important in RDP history, as we will be unveiling our new software system, RDPWin, which will be the core RDP technology for the next 10 years.  This session will include an overview of all features already implemented in RDP, including:  
  • Browser-Based Architecture - Access your data from anywhere

  • Full "GUI" functionality (uses a mouse, pictures, colors, etc.)

  • Runs at the same time as RDP Version 12.02 - "Phase-in" RDPWin 

  • RDPWin is only installed on the RDP Data Server - No installation required for workstations 

  • Hundreds of new features, including faster check-in/out, improved availability displays, hundreds of new reports, and much more.

This session also covers the procedures for registering your company to start using RDPWin in the Beta Test program.  Customers who participate in the RDPWin Beta Test Program will have direct support from RDP's programming department (Bill Csete and friends).  Additionally, Beta Test customers will provide enhancement suggestions, many of which will be incorporated immediately.

Many customers have expressed an interest in the RDPWin Beta Test program, but were concerned about reliability of the system during Beta Test.  RDP has addressed this issue by designing RDPWin to function simultaneously with the existing RDPDOS system.  For example, if a defect is discovered during Beta Test that prevents a reservation from being checked-in with RDPWin, you could still check in the reservation with RDPDOS while our programmers eliminate the RDPWin defect.  All current RDPDOS features and programs continue to function exactly as they always have!




Session #3 Internet Reservations  Success Stories, New Features/ & Enhancements

Several years ago RDP released the Internet Reservation Module (IRM), to provide guests the ability to book reservations directly into the RDP system using the Internet.  The IRM has proved to be one of the best tools to generate additional revenue.  Some RDP customers using the IRM are receiving a great deal more reservations than others.  This session is designed to analyze the best IRM sites and success stories so that all IRM customers can improve their site.  The session starts with a management overview for those customers who do not yet have the IRM.  Other topics include:

Session #4 Hosted Cocktails, Hors d"oeuvres and Banquet with RDP Staff

The reception and banquet have always been a highlight of the RDP Customer Conference.  The evening begins with cocktails and hors d'oeuvres. The Marriott Resort offers spectacular views of the mountains and dinner is first class. (Vegetarian meals are available upon advance request.)

All RDP personnel attend the reception, providing ample opportunity for personal discussion.   In addition, the reception is an excellent informal environment for customers to swap tips and exchange ideas.  In years past, when the dinner has ended the RDP group has walked into Vail Village to enjoy the nightlife and dancing.  One guest is included with each conference ticket.  Additional guests are $100.

RDP's computer lab has proven to be very popular in the past.  The lab provides workstations to experiment with the new features presented during sessions.  RDP Support and Programming personnel staff the lab.  RDPWin, Crystal Reports, the Internet Reservation Module (IRM) and Version 12.02 will be available for use.  This service is included as part of the Customer Conference Package. 

To help meet our room block requirements, RDP is also offering a free 1-hour consulting session to all customers who stay at the Vail Marriott.  These consulting sessions will be held in a private section of the computer lab.

Session #8 New: Wait List, Frequent Guest, Work Orders, Global Distribution (GDS)

In order for RDP to always provide the best Property Management System on the market we must continue to add new functionality to the system.  There are hundreds of new features that could be added to the system.  The trick is to select those features that will benefit the most customers.  RDP is considering the development of the new modules below.  Which ones are developed will depend on the feedback received from customers attending this session.  Possible new RDP modules that will be presented are:
GDS Interface Overview of Global Distribution System and Interface to RDP System
Frequent Guest Similar to Airline Frequent Flyer.  Award points & bonuses.  One Database for all RDP Resorts.  Track additional guest preferences, etc.

Denial tracking
Automatically place guests on Wait List when rooms not available.  Move guests from Wait List to rooms when they become available.  Denial Tracking to determine why reservations were not made

Session #9 Crystal Reports  Overview, New Reports and Features

OOne of the most powerful aspects of the RDP system is Crystal Reports, which provides over 100 system reports, complete with graphs, charts, what-if analysis, and much more.   RDP frequently adds powerful new reports, which are included at no charge as part of the support contract.  However, most customers don't realize the new reports are available.   This session will cover all existing RDP crystal reports.  Each report will be displayed on the screen and explained in detail.  Suggestions will be taken for modifications to reports, or new reports.  RDP has allocated R&D time to implement suggestions in the next few months.

This session is about using existing reports, and does not cover how to create or modify reports.   Customers looking for detailed Crystal Reports training should plan on attending the optional two-day Crystal Reports Certification class held Friday, June 6th and Saturday, June 7th at RDP's Corporate Training Center.  Each student has his or her own workstation in the RDP training lab.  The course is a hands-on class with several lab exercises and ample time for experimentation.  The price for this two-day optional class is $500.   For additional information on this two-day class, please see page 5 of this informational packet.



Session #10 Improving Guest Services & Increasing Revenue with Itineraries

Session #12 The Power of E-Mail, Yield Management & Frequent Guest

EE-mail is one of the Internet's most powerful tools.  E-mail is delivered immediately, for free!   Building an E-Mail database is one of the most valuable assets any property can have.  However, with the onslaught of junk E-Mail (Spam), many guests are reluctant to give out their E-Mail address.  This session addresses how to build an E-Mail database by giving guests an incentive to provide their E-Mail address.

RDP fully integrates E-mail into the property management system.  An E-mail address is collected for every guest, travel agent, wholesaler, group, and company.  The system allows mass E-mails to be sent based on a variety of selection criteria.  Use E-mail to establish frequent guest programs and to announce specials.


This session also covers an overview of the built-in guest history and marketing features within the RDP system.  RDP uses source-of-business codes, market codes, and guest history types for categorizing guests and tracking marketing efforts.   Additionally, RDP's statistical and forecasting reports provide detailed revenue tracking information used for allocating marketing dollars.

We will also cover the possible enhancements to the existing guest history/E-mail system that are contemplated for the new RDP Frequent Guest Module.




Session #13 Auditing Data For Accuracy & Fraud - Daily balancing Issues

The RDP system contains hundreds of powerful financial and statistical reports.   However, one of the oldest truisms in the computer industry is “garbage in - garbage out”.  If the data is input incorrectly, the reports are also incorrect.  This session covers the keys to balancing the RDP system and making sure that accurate information is entered.  Topics covered include:

Session #14 EEnhancement Requests & RDP's Future

The software world is constantly changing.  In order to make sure RDP's products remain the industry leader, we continually improve our existing products and create new modules.  Resort Data Processing develops new features and modules with the help of our customer base.  Last year many features requested during this session were implemented within a few months.  Join this session in order to have “your voice heard” when it comes to allocating research and development resources in the coming year.



Session #15/font> BBar-B-Que at RDP Corporate Headquarters

TThe final event of the 2003 Customer Conference is an informal BBQ at RDP's Corporate Headquarters, located in Eagle-Vail, about 5 miles west of Vail.   For those customers without transportation, we will arrange a ride to and from the Marriott Resort.  The good food and company compliment the beautiful views of the mountains.  Drinks, hamburgers, hot dogs, chicken, vegetarian alternatives, and all the trimmings will be provided. The BBQ provides an excellent opportunity for our customers to interact with each other and RDP staff in a relaxed environment.  The BBQ is included with the Conference Package.  Additional guests are $30.

RDP support will be closed all day on Thursday, June 12th so that employees can move RDP equipment from the computer lab at the Marriott back to RDP corporate headquarters.  Also, all support employees will be at the BBQ to meet customers and provide informal consulting.




Optional Session B One-Day Optional Seminar  Optimizing Internet Reservations

 This session is Optional  it is not included in the Customer Conference

TThis hands-on seminar is beneficial to all IRM customers.  The course, held at RDP's Corporate Training Center, provides each customer with his or her own Windows 2000 workstation with a copy of the Internet Reservation Module installed.  Not only will the topics introduced during the Customer Conference (session #3) be expanded upon, IRM websites will be presented that have been optimized for both performance and functionality.

Over the past three years, RDP has learned many Internet marketing techniques from web-savvy customers.   These techniques will be introduced along with configuration tips documented from the past two years of IRM installations.  In addition to Internet marketing techniques, this seminar focuses on customizing the IRM with Microsoft Front Page and optimizing Windows 2000 Server with Internet Information Services (IIS).  Major topics presented at the seminar include:  

Whether your property is looking to increase IRM traffic, seeking assistance with the IRM customization, or you are planning an IRM installation, this extra day in Vail will prove invaluable.

RDP encourages early enrollment for this one-day seminar.  In order to maximize the seminar's effectiveness, enrollment is limited to the first 20 customers.
